Welcome to the central nervous system of TOM Enterprise. This document isn't just a manual; it’s our shared compass. As Arizona’s only nonprofit creative incubator, we sit at the heart of a $14.2 billion creative economy. But for the first-generation founders and creative solopreneurs we serve, those billions can feel like a distant dream.

Our job is to bridge that gap. We turn "someday" into "Day One." To do that effectively, we rely on precision, high-quality systems, and a digital-first approach that ensures no visionary is left behind because of their zip code or bank balance.

This Knowledge Base (V.1.0) is designed to align our internal team and our AI agents (looking at you, Eva, Stan, and the rest of the crew) to ensure we provide a seamless, premium experience for every builder who walks through our digital doors.

The Mission:
We help aspiring entrepreneurs and creative solopreneurs build lasting legacies through brand identity development, strategic business planning, financial literacy education, and mentorship. We are the bridge between raw talent and a sustainable, professional brand.


2. The Website Intake Workflow (Squarespace ➔ HubSpot)

Efficiency is our love language. When a founder visits our site, we want them to feel held, not confused. Our intake process is a 3-phase journey that moves a lead from "curious" to "committed" in 14 days or less.

Phase 1: Initial Contact (Days 1-3)

The journey begins at one of our primary entry points. Whether they click "Start Your Legacy" on the home page or "Complete Intake Form" on our services page, the destination is the same: clarity.

  • AI Trigger: Once General Inquiry Form 2 is submitted, the lead is automatically tagged as "New Applicant" in HubSpot.

Phase 2: Discovery & Assessment (Days 4-7)

This is where we listen. We host a 30-minute Discovery Call to assess needs and match the founder with the right service tier or scholarship.

  • CRM Stage: "Under Review."

Phase 3: Enrollment & Onboarding (Days 8-14)

The final step in the gateway. We issue the Service Agreement via DocuSign, provide the Onboarding Handbook, and finalize the payment or scholarship setup.

  • CRM Stage: "Enrollment Pending" ➔ "Enrolled."

3. Flagship Program: The Legacy Builder Cohort

The Legacy Builder Cohort is our most intensive offering. It’s a 12-week journey designed to take a founder from an idea to a market-ready brand. Enrollment is strictly via application to ensure the cohort remains focused and high-impact.

The Curriculum Modules:

  1. Brand Identity Development: Moving beyond logos to core values and visual storytelling.
  2. Strategic Business Planning: Mapping the next 12 months with a "Roadmap" mentality.
  3. Financial Literacy 101: Understanding the "Fuel", budgeting, tax strategy, and grant readiness.
  4. Structure & Systems: Setting up the digital tools to run a business without burning out.
  5. Pitch Preparation & Storytelling: Learning how to speak the language of investors and customers alike.

Waitlist management for the cohort is fully automated through the "Legacy Builder Waitlist Master," ensuring we can focus on the founders currently in the room while nurturing the next wave of builders.

4. Service Categories for AI Matching

When founders ask for help, our AI needs to know exactly which bucket they fall into. We categorize our support into four clear pillars of the Founder’s Flight Path:

  • Strategy (Roadmap): Focused on Strategic Planning & Business Accelerators. This is for the founder who has an idea but needs a map.
  • Brand Clarity (Foundation): Focused on Creative Direction & Visual Storytelling. This is for the founder who needs to look as professional as they actually are.
  • Systems (Community): Digital-First Mentorship & Operations. This is about building the engine that keeps the business running.
  • Financials (Fuel): Financial Literacy Workshops & Tax Strategy. This is about ensuring the business is sustainable and "grant-ready."

5. Standardized CRM Pipeline Labels

To keep our data clean and our team sane, we use a standardized set of HubSpot labels. If you see a label, here is exactly what it means:

  • New Applicant: Form submitted, no action yet.
  • Under Review: Currently in the 30-minute discovery phase.
  • Accepted: Approved for a service or cohort.
  • Waitlist – Current Cycle: High-priority leads for the current season.
  • Waitlist – Next Cycle: Long-term leads.
  • Enrollment Pending: Agreement sent but not signed.
  • Enrolled: Signed and ready to start.
  • Active Cohort: Currently in the 12-week intensive.
  • Alumni: Graduates of our programs (our strongest advocates).

6. Meet the AI Team (Our Digital Coworkers)

We leverage a hybrid reach strategy. While the heart of TOM Enterprise is human, our digital agents handle the heavy lifting of logistics and content, allowing our founders to get the attention they deserve.

  • Eva (Executive Assistant): Our central command. She flags any signs of legal or financial distress directly to Tralynn Mccullar.
  • Linda (Legal): Our compliance expert. She manages contracts, grant applications, and keeps us aligned with Arizona nonprofit regulations.
  • Stan (Sales): The gatekeeper. Stan manages the discovery call schedule and ensures no intake form goes unanswered.
  • Sonny (Social) & Penny (Blog): That’s me! We manage the external narrative, ensuring the world knows about the $14.2B opportunity waiting for them in Arizona.

7. The 8 Legacy Signals (Applicant Scoring)

To keep our intake process fair, fast, and focused, we use 8 Legacy Signals to score and prioritize applications. These signals help both our AI and our team review who is the best fit for support, what kind of support they need, and how urgently they should move through the pipeline.

The 8 signals are:

  1. Clarity: How clearly the applicant explains their idea, goals, and current needs.
  2. Stage: Where they are in the journey, from idea phase to active business.
  3. Time: Whether they have the capacity to show up, do the work, and follow through.
  4. Coachability: How open they seem to feedback, structure, and guided support.
  5. Resource Fit: Whether TOM Enterprise’s services, sliding-scale model, and scholarship pathways match their needs.
  6. Arizona Alignment: Whether they are based in Arizona or clearly connected to the Arizona entrepreneurial ecosystem we serve.
  7. Brand Readiness: Whether they are ready for brand development, strategy, or visibility support right now.
  8. Legacy Intent: Whether they are building with long-term purpose, community impact, and sustainability in mind.

These signals are used by the AI and the team to score intake forms, prioritize follow-up, and route applicants toward the right next step. For the Legacy Builder Cohort, Coachability and Arizona Alignment carry extra weight because the program is designed for founders who are ready to learn in community and grow inside our Arizona-based ecosystem.
